Workspace Studio enables users to boost their productivity with custom, no-code agentic automation. Today, we are adding a new set of enterprise security controls to enable additional collaboration use cases. These granular identity, data protection, observability, and governance controls provide admins with more confidence to safely enable and adopt agentic capabilities in their organization.

Built-in, enterprise security controls in Workspace Studio include:

  • Agent identities
  • Agent access management
  • Agent auditing and observability
  • Admin settings / human-in-the-loop (HiTL)
  • Runtime protections

Collaboration use cases

When Studio initially launched, it was only able to assist users in their tasks, such as drafting an email, not executing tasks autonomously, such as sending an email. Now, Studio supports cross-user collaboration through the introduction of several new steps with built-in guardrails.



Collaboration actions in Studio Flows

Agent identities: Automation with flows in Studio will continue to run with the user’s identity, but in a least-privileged way. This means that the flow will have the minimal set of privileges required to run, and not the full set of privileges the owner has. When the flow executes, it will do so with a unique, auditable identifier. Note: the least-privilege agent identity will apply to newly created flows only.  Existing flows will be supported in the future.

(Beta) Identity attribution: Admins, through a new setting, will be able to decide whether the actions taken by a flow show the owner's identity, or are attributed to the flow itself, with the owner information made visible.  This will default to “on”; meaning the actions by the flow will be attributed to the flow. Note: the agent identity attribution setting will apply to newly created flows only.  Existing flows will be supported in the future.

Auditing and observability: Actions in Studio across configuration and execution events are recorded in Studio audit events. Additionally, audit events for actions, such as edits made to a file in Drive or emails sent in Gmail, will include flow context, such as a unique flow identifier and the owner’s information. Note: agent context in audit logs will apply to newly created flows only. Existing flows will be supported in the future.

Agent access management: In the admin console, an Agent access management dashboard gives admins the ability to suspend all flows or targeted OAuth scopes for individual flows, such as revoking Drive access. Additionally, the security investigation tool enables admins to transition directly from an audit event to the agent access management page, facilitating swift remediation during incident investigations. Note: after the rollout, newly created flows will be shown in Agent access management.  Existing flows will be supported in the future.

Admin settings & human-in-the-loop: Additional admin settings will support disabling specific step types for flows, disabling Gemini data access, enforcing end-user confirmation for steps that share data externally, and disabling webhook integrations.

Runtime protections: Additional data loss prevention (DLP) features for Gemini data access and Studio flows are available for added protection. Gemini DLP restricts Gemini’s ability to access Drive data based on content conditions and labels, with support for additional services coming soon. DLP for Studio will support restrictions on Studio flow execution, including blocking or enforcing end-user review, based on conditions of the sourced data, utilized data, and data visibility of the output.

Historically, keeping Gemini Notebooks up to date would require you to manually add sources one by one. Now, this new integration lets you automate adding sources to your Gemini Notebooks as part of a recurring workflow. You can use the new Add a source to Gemini Notebook step to add text, links to Drive files, or generic Youtube or web URLs as sources to your notebooks to ensure your notebooks are always up to date on the latest content.

Resources

We are introducing the ability to loop over a list of items in Google Workspace Studio flows, bringing more power and flexibility to your everyday workflows. As part of this, the Ask Gemini step has a new configuration section called Response format where you can decide if the output of the step should be in text or list format. When list format is selected, the new step Repeat for each can be used so that the flow can loop over the items of that list.

The Repeat for each step can also be used to loop over Google Sheet data row by row and run substeps.

This improvement unlocks new possibilities for many use cases, including:

  • Create a task for each action item based on meeting notes.
  • Draft an email for each sales lead based on your sales tracker Google Sheet.

We’re introducing more granular admin controls for Workspace Studio steps and starters. With these new controls, admins can define which steps and starters people in their organization can use to create flows, including by Workspace service or individually. They provide admins more granular control of Studio functionality, and are particularly useful for gradual rollout of Studio in their organizations.


Getting started
  • Admins: Workspace Studio starters and steps will be ON by default and can be disabled at the domain, organizational unit, or group level. Visit the Help Center to learn more.
  • End users: There is no end user setting for this feature. The steps turned off by admins will show up as disabled (greyed out) in Studio. Existing flows with these steps won’t run, and the user will see an error.

We’re integrating NotebookLM into Google Workspace Studio. This enhancement lets you use your existing notebooks as an AI knowledge source for your automations. You can use the new Ask NotebookLM step to generate grounded responses based on the insights, summaries, and research in your notebooks.

We’re introducing enhancements to the Google Meet starter step in Google Workspace Studio. As part of this, the step When a meeting transcript is ready has been renamed When meeting outputs are ready. This step now allows you to decide if the workflow should run when either meeting transcripts or Notes by Gemini are ready. Previously, only meeting transcripts would trigger the flow to run.

In addition, you can now select up to 100 different meetings to trigger your flow whereas in the past you could only select one meeting. This update allows you to easily automate the same process for multiple events.

With these enhancements, you gain greater precision in managing which meeting artifacts and which specific meetings activate your workflow.

Block time on your calendar
We’re also making it possible for Workspace Studio flows to block time on your calendar.

You can use the “Block time” step with “Ask Gemini” or “Extract” steps to automate use cases like adding a reminder block on your calendar for an appointment confirmation or required training you received in email, or to schedule focus time. The event the flow creates is just for you and no guests can be added.

We are integrating Gems into Google Workspace Studio as a step that you can add to your flows.

The Ask a Gem step allows you to have your flows send a prompt to private Gems to automate tasks like creating summaries or writing documents. You can use any Gem with Drive files in its knowledge base (Gems with Google Photos or other file types will not appear in Studio).

What’s happening
Today we’re introducing Google Workspace Studio: the place to create, manage, and share AI agents to automate work in Workspace—no coding required. 


What you can do with Workspace Studio
Workspace agents built in Studio offer flexibility and intelligence beyond traditional automation.

  • Automate with agents: Move beyond simple, rule-based automation. Agents can reason through problems and adapt to new information, tackling complex workflows such as intelligent prioritization, support issue triage, smart approvals, content generation, and sentiment analysis.
  • Create agents with AI: Empower every user to build custom agents in minutes. End users can simply describe what they want to automate in plain language (e.g., "every Friday, ping me to update my tracker"), and Gemini will create it.
  • Work smarter with context: Agents can now help with tasks such as “Draft a weekly update for Project Cymbal”, or “What should I do today?”. They are deeply integrated with your Workspace apps (like Gmail, Drive, and Sheets). This allows agents to automatically pull relevant context from your documents, emails, and the web, enabling them to provide smarter, personalized answers and take actions based on your specific situation.
  • Integrate seamlessly: Automate across your entire toolset. Agents can be connected to third-party apps and platforms including Asana, Jira, Mailchimp, and Salesforce.
  • Extend capabilities: Create more powerful and personalized agents for your business or education institution:
    • Call external APIs with webhooks to connect to virtually any internal or external service (e.g., push notifications to Slack/Teams/Discord).
    • Build custom steps using Apps Script to integrate with proprietary internal tools, ADK agents, or models via Vertex AI.
  • Share and scale: Agents can be shared with a team for others to copy, similar to sharing a Google Doc. This makes it easy to scale powerful agents across your organization.
  • Use templates: Users can create agents with a library of zero-configuration templates for common use cases that can be shared across your organization. For example:
    • Get a daily summary of unread emails
    • Label emails with action items
    • Get pre-meeting briefs in chat
Additional details
Workspace customers on all eligible editions will get promotional access to higher usage limits of Workspace Studio, allowing users to further experiment with these features. Please note that usage may be subject to change to ensure a consistent and high-quality experience for all users. Additional details on per-user usage limits will be provided in a future update in January 2026.

Users under the age of 18 will not be able to create agents with Gemini AI or use AI-powered steps in agents.
Getting started
  • Admins: Google Workspace Studio is a core service and will be on or off by default based on your organization’s release preference for new products. It can be enabled or disabled at the OU and group level. Additionally, in the coming weeks, Workspace Studio will be rolling out several new features, including enhancements for external sharing, email sending beyond your primary domain, and robust webhook support. These features will be tightly integrated with your existing trusted domains and allow list configurations, ensuring that admins will have the ability to control, monitor, and audit data flow to meet their organization's specific security and compliance standards. Granular admin controls will also be available to manage these features. More info on default settings for sharing, webhooks, and Gemini features can be found in the Admin Help center.
  • End users: Once available, end users can access this feature by visiting https://studio.workspace.google.com/.
Rollout pace
  • Rapid Release domains: Admins will see settings appear in the Admin console at the same time their end users get access to Workspace Studio; this will be an extended rollout starting December 3, 2025.
  • Scheduled Release domains: Admin console settings will roll out gradually starting December 3, 2025. End user access to Workspace Studio will roll out gradually starting on March 2, 2026.
